Microsoft has announced the end of mainstream support for Dynamics GP, meaning many companies still using GP are considering their options going forward and wondering things like: Do we have to move right now? If we choose Business Central, what are the functionality differences from GP? What will it cost us?

Microsoft has officially announced the end-of-life for Microsoft GP, signaling the sunset of this stalwart in the financial management software landscape.

As we all already know, our fiscal year-end doesn’t have to line up with our calendar year-end. In fact, many businesses have fiscal year-ends right around now—mid-year. If you’re thinking about closing procedures and don’t remember every step (we only do it once a year, after all), we’ve got you covered. Here’s your refresher for Dynamics GP fiscal year-end closing procedures. And stick around to the end of the blog for a few resources to jumpstart your close!

Sometimes, Dynamics GP needs to be taken offline to perform certain activities that are easiest with an empty system—such as regular maintenance, system updates, error fixes, and even year-end close. Luckily, version GP 2013 R2 and beyond have a feature that allows you to take the system offline, making these routine updates and fixes easier than ever.

Note that taking a company (or several companies—you can choose) offline only allows the offline administrator and other specified users to log into the company, but you can set a message to alert anyone who tries to access the system during that timeframe so they’re aware of the reason they aren’t able to login.

Recently, Microsoft became aware of an issue where workflow completion emails have been failing to send to the originator (or creator) of the workflow. Here’s our workaround:

2022 is coming to an end, and that means situating yourself to properly close your financials and prepare your ERP for next year so there’s no hiccup in your processes when the clock strikes midnight on December 31. Make sure all your ducks are in a row now to avoid any last-minute scrambling and problems around the holidays.

Beginning October 1, 2022, Microsoft will disable basic authentication for Exchange Online, making modern authentication the only possible authentication method for email functionality in Dynamics GP. This means that some companies might experience disruptions to their email and workflow functionalities in GP if basic authentication is still being used, which is often the case for those using older versions of GP. Enabling modern authentication opens the door to using multifactor authentication (MFA), as well, which we highly recommend (but more on that later).

There are some key differences to be aware of in the Purchase Order statuses and controls between Dynamics GP and Dynamics 365 for Operations.

Classes in Dynamics GP are a great tool to use when categorizing and configuring new customers, vendors, and inventory in GP. They allow you to default a variety of settings, rather than manually selecting the settings each time. When creating customers, vendors, and inventory in Dynamics 365 for Operations there are similar setup options to classes, however they are not an exact process match. Below is a breakdown of the main setup options in classes in GP vs. options in Operations.

If you are a user switching from Microsoft Dynamics GP to Microsoft Dynamics 365 for Operations or vice versa, you are likely going to encounter terminology differences that will have you scratching your head in confusion as you attempt to decipher the various terms. To assist in your transitional journey, here is a brief rundown of some of the basic terminology differences that you may find helpful:

We recently migrated our company from Dynamics GP to Dynamics 365 for Operations. Since we have been a Dynamics GP provider for many years, we put together a project plan and split up tasks needed to migrate our existing data into the new D365 Operations system.

No matter which ERP system you choose, one of the first items you will need to consider is how to design your chart of accounts. This could be influenced by many factors including your product lines, cost centers, and company divisions.

Both Dynamics GP and Dynamics 365 for Operations can accommodate financial reporting and tracking by multiple sectors of an entity’s business, but the approach is different in each, with Dynamics GP using Segments and Dynamics 365 for Operations using Dimensions.

With Microsoft launching its newest Dynamics ERP system, Dynamics 365 for Finance and Operations, many of you may be wondering what financial statement application they will be using on the backend. The good news for those looking to switch from Dynamics GP to Dynamics 365 for Finance and Operations is that Operations will also be using Management Reporter (MR). For those who are familiar with designing reports in MR, the core functionality is exactly same, but there are some things that have changed. At first glance of MR in Operations, you will not see any differences from the MR you are used to. As you begin to dive deep into the settings and options you will begin to see some subtle differences.

The deadline is fast approaching to submit 1099s. You’ve ordered the paper, you’ve checked the vendor 1099 totals, and you’re ready to print. When they come out of the printer, however, there’s an obvious mistake. How frustrating! I’ve addressed some common 1099 printing issues and how to fix them.

If you’re new to GP, one of the most frustrating situations you can be in, is when you try to exit out of a window and it just won’t close. You try everything: clicking Delete or Cancel, clicking the ‘X’ in the corner, but GP just won’t let you out! I’ve included a few tips that should help you exit out of any GP window if you find yourself in this situation.

It’s the end of the year, and soon it will be time to process those W2s. There are a few steps that can be taken to make W2s available to view or print by your employees. Some employees might also have had some changes in the past year and need to make edits to their W4s. Both scenarios are covered below.

It has been a little over three weeks since Summit 2016 wrapped in Tampa Bay, Florida and I thought this would be the perfect time to reflect on three days of keynotes and sessions from users, MVPs, and Microsoft employees with three major takeaways from the event.

The Purchasing All-in-One View was added with the release of Dynamics GP 2015. This view allows users to display posted or saved transactions by vendor and makes the relationship between documents transparent. The Purchasing All-in-One View can be accessed from the Inquiry pane, the ribbon on multiple navigation lists, and in several of the purchasing transaction windows. The new tool creates an easy-to-use view of the interactions between documents in one convenient window; a feature that many users have been waiting years to have. There are a few limitations and some filtering issues, however, which you should be aware of in order to get the most benefit out of this tool.

I get asked all the time about reconciling the accrued drop ship account. In order to explain how to reconcile this account, I thought I would detail how the accrued drop ship account is utilized in Dynamics GP. Once you have a basic understanding of how the drop ship process works, you will realize that the account reconciliation really isn’t that complicated.

If you are using spreadsheets to track your prepaid expenses while trying to remember to manually enter multiple journal entries each period: STOP! There’s an easier way. Dynamics GP has a feature called Revenue/Expense Deferrals that will calculate and automate the deferral entry process.

Have you ever opened up a Navigation list and thought, “I know this invoice has been entered, so why is it not in my Open Invoices list?” Or maybe, “I was just viewing this PO, why is it missing from my Open POs list?”

If you find yourself in this situation, don’t get discouraged. There are two settings that you will want to check on: your filter settings and your restrictions group.

1. Your Partner doesn't communicate with you.

How often do you have a sit down with your Dynamics GP provider to talk about what is happening with your business and how your system is working? If your partner isn’t connecting with you regularly, then they are not aware of how your business is growing and how Dynamics GP can help you manage and maintain that growth.

It's that time of the year again! It's time to close the books for 2015. We're here to answer common questions related to year-end closing procedures in Microsoft Dynamics GP.

You have just completed a project in GP and you are ready to close it - or so you think! You go through the "Project Closing" window and it indicates that the project is not ready to be closed. "What do I do now," you may ask.

If you think you have everything completed for a project and you are not sure why it will not close, you may want to run the PA Reconcile utility.

One of the new features of Microsoft Dynamics GP 2013 R2 is the ability to copy information from an Excel Spreadsheet and paste it into a General Ledger entry in GP. For any of you that have used Integration Manager to import General Ledger transactions into GP, you are probably jumping up and down with joy and high-fiving everyone at the office. A process that used to involve preparing your Excel document, saving it as a tab-delimited file, configuring your integration, and then troubleshooting any errors you might receive with your integration has been simplified into preparing an Excel document and simply pasting it into GP. Neat right? The only thing to keep in mind is that your columns have to be ordered in this sequence: Description, Account Number, Debit, and Credit.

It's that time of year again! Time to generate and send out 1099s to your vendors. Luckily, Dynamics GP has this functionality built in. All you need to do when entering a new 1099 vendor is specify that they are a 1099 vendor in their vendor card. Then, at the end of the year, you can print 1099s for all vendors that you have set up. All of the calculations are done for you.
