Get all your app notifications in one daily email update using Power Automate
Power Automate • Power Platform
This Fast Class demonstrates how to use Power Automate to collect notifications and updates from multiple business applications and deliver them in a single daily email digest. The session covers pulling data from Dynamics 365 CRM, Microsoft Teams, SharePoint, and custom applications, then formatting and distributing that information automatically to help reduce time spent checking multiple systems throughout the day.
When work requires using multiple systems throughout the day, it can be difficult to stay on top of notifications, updates, and tasks. Power Automate can help by gathering information from various applications and sending it all in a single daily email. This approach can reduce the time spent moving between systems and provide a centralized view of your most important updates.
Gathering data from Dynamics 365 CRM
Power Automate's Dataverse connector makes it easy to retrieve data from Dynamics 365 CRM. In this example, the flow collects:
The flow begins by generating a current timestamp and formatting it into a readable date. That date is then used to create a dynamically named Excel report file. A template Excel workbook stored in OneDrive is copied and renamed automatically. The flow then uses Dataverse queries to retrieve CRM records and populate separate tables within the workbook. When adding rows to the Excel tables dynamically, JSON objects are used to map retrieved values to the appropriate table columns.
Building a daily CRM report
After creating the workbook copy, the flow loops through each record type and inserts the data into the appropriate Excel table. The completed report can then be shared through OneDrive or SharePoint and included as part of the daily notification email. This process automates a task that many organizations regularly perform by manually gathering and compiling information from business systems.
Collecting Microsoft Teams messages
Teams notifications can quickly become difficult to manage when participating in multiple teams and channels. The flow uses the Teams connector to retrieve channel messages and then filters those messages based on creation date. Because the Teams connector does not provide all filtering options directly, a Filter Array action can be used to return only messages created within the desired timeframe. The results are then formatted into a readable email section that includes:
To improve readability, HTML content from Teams messages is converted to plain text before being added to the email. If multiple teams or channels need to be included, the same logic can be copied and reused for additional sources.
Tracking SharePoint document activity
Power Automate can also gather information about recently created or modified SharePoint documents. Two separate SharePoint queries are used:
Separating the queries helps avoid duplicate reporting and makes it easier to identify whether a file was newly created or simply updated. The notification email can include information such as:
This provides a quick daily overview of important document activity without requiring users to browse through multiple SharePoint libraries.
Connecting to applications without native connectors
Some applications do not include built-in Power Automate connectors. When an application provides API access, Power Automate can send HTTP requests directly to that API to retrieve data. This technique expands the types of systems that can be included in a daily notification digest and allows organizations to consolidate updates from a broader set of business applications.
Creating the email digest
Once all data has been collected, the flow sends a summary email using the Outlook connector. Each section of the email contains information gathered from a different source, making it easy to review updates from multiple systems in one place. Organizations can choose to:
Scheduling the automation
After testing and validating the flow, a recurrence trigger can be used to run the process automatically. Common scheduling considerations include:
A daily schedule ensures the notification digest is ready when users start their day.
