Syncing your email to CRM just got easier with this new security role

As your organization’s CRM or Power Platform system administrator, you’re responsible for overseeing the permissions, settings, and functionality available to all your users, and you want to ensure that everyone has access to what they need to do their jobs efficiently day in and day out. When new employees are added to the system, or when current users need increased permissions, each request must be reviewed and approved by you – and the faster they are approved, the faster they can get logged in and start on essential tasks.

A major benefit of the Microsoft Business Application Ecosystem is the ability for each application to work in unison with contacts, appointments, data, and account information updating in sync across all your integrated applications. The ability to sync your Outlook email services in particular to Business Central, Power Platform, or Dynamics 365 CRM solution (or all of the above!) is a game changer, allowing your processes to connect across apps – but before an inbox can sync to your application, your system administrator must allow Server-Side Synchronization access.

Server-Side Synchronization is the permission that allows Exchange and Outlook email services to sync with Dynamics 365 and Power Platform applications to keep track of appointments, contacts, cases, and tracking email communications back and forth. Up until now, only global system administrators could make any kind of permission changes or add new user access, and for large organizations, it’s entirely plausible for a single system admin to lose track of a permission or two – which delays the user’s ability to use email services within the Dynamics 365 and Power Platform stack.

Now, a new update will allow global admins to delegate certain approvals to other users – in fact, it can be any user within your organization’s application Dataverse, and access can be granted to multiple users at a time. For example, your organization’s global admin may allow senior managers or department leads to now have Delegated Mailbox Approval access, allowing them to take control over their direct reports and free up time in the global admin’s day.

Here’s a guide on setting up Delegated Mailbox Approval as the current global system admin:

In your Dynamics 365 or Power Platform admin center, navigate into the appropriate application environment – there, you will see a list of each environment’s users. Once you find the user you’d like to update the security roles for, click on the three vertical dots and select “Manage security roles.”

From there, you’ll see a list of the possible security roles you’re able to grant them. In this case, we want to grant Delegated Mailbox Approver access.

And that’s it! Setting custom user security roles is a great way to optimize efficiency across your system’s end users.
